Finding the Right Payroll Software for Your Company

All businesses have this one thing in common:  the need to pay their employees correctly and on a regular basis. But being able to print out and distribute paychecks to your employees each week is only the beginning. With payroll comes other paperwork, which must be completed in a timely manner and with great accuracy. Employers must keep track of how much money each of their employees earns. Once this has been accomplished, it’s simply a matter of entering the number of hours each employee works each week.

The payroll software will figure all the withholding information for each employee based on data that is predetermined by the state and other internal factors, which have already been entered. Someone in the payroll department runs the checks on the appointed day and these are then signed by the proper people in the accounting department and distributed to employees on “payday.”

Mistakes can be made, of course, but these are usually mistakes made by the people who enter the employee hours each week. There are checks and balances to catch such errors but normally, the system runs smoothly and efficiently. When an employee reports an error to his or her payroll department, their record is easily pulled up on the computer, so that the data can be reviewed and corrected if necessary. The payroll software program does most of the work for you.

When it becomes time to file IRS forms, such as Form 940, 941 and 944, that information is easily accessed. The payroll software keeps running totals of all deductions for each employee, which if done manually, would be a monumental undertaking and a huge amount of paperwork.

With your payroll software, the job becomes easy.  Forms are printed out with the employee name and address plus other related information. The correct amounts for deductions, such as FICA, Medicare and 401 K contributions are already filled in. Running totals have been kept throughout the year by your payroll software. At the end of year, your payroll software will print out W-2 forms, as well as 1099’s which will have each employee’s name, address and tax information correctly completed. After these forms have been printed out, they are easily mailed out to each employee.

It’s hard to imagine a world without payroll software. With so many choices to choose from the only real problem your company will have is in determining which payroll software is right for you. There are many brands and versions these days and your choices will depend largely upon factors such as, the type of company you own, along with the number of employees you have working for you.

Businesses who sell payroll software normally have qualified sales people who will come out to your company and demonstrate all the benefits of their particular brand of payroll software. These companies also employ customer service people who can help an employer with any software issues or problems they might incur.

Another handy and incredible feature is that all software programs these days are designed to automatically update themselves any time there’s a newer version released. That means your payroll software will always be up to date on any changes the federal government might make in tax reporting and any number of other issues. A company which develops and designs payroll software is continually searching for ways to streamline their processes. Also, they do their best to make certain their particular brand of payroll software is as user friendly as possible.
